The three major steps in the three-step writing process are

When preparing to write outside or within your workplace, there are three important steps that every writer should abide by. It’s called the three-step business writing process, which consists of planning, writing and completing. Not properly following these steps however, could lead to quality, content and communication issues between the writer and their target audience. "Practicing this process consistently can make writing easier and more involuntary for an individual. It will also help make your message more effective in any medium (Thill)."

The first step of the writing process is to plan. This is the most important step when constructing a business message. The first part of planning is defining your purpose and developing your target audience. Then, gathering information that can effectively satisfy your audience. After the information is gathered, then comes choosing the format that can successfully portray the writers’ message. The format will then be organized to help readers understand the author message. The organizations begins by selecting either to take a direct or indirect approach." Organization can make the difference between success and failure (Thill)."

The second step of the process is writing. "When writing it is important to be sensitive to your audience needs. Accommodate these needs by establishing a strong relationship with them, by establishing your credibility and projecting your company's image (Thill)." After the author adapts to their audience, they can then begin composing the message.

The final step of this process is completing the message. This step begins by proofreading and revising your message. When proofreading in order to get the best results, have another individual revise the message. The other individual can be helpful to catch errors that the author overlooked. After proofreading the message, it’s time to publish and distribute the message. Distribution should be checked to make sure the document and all the relevant files are sent to the correct recipient.

Writing in the workplace

When writing in the workplace, the three step writing process is stressed within the company. When a company has communication issues and complaints arise due to the lack of the process. The employees within the company believe that some messages are not valid and shouldn’t be sent. The correct formats are between a letter and an e-mail instead of an essay or blog, which is popular within the workplace. When preparing to publish the letter or e-mail throughout the company, reviewing the content is an important aspect. It should be reviewed for spelling, grammar and making sure the format is appropriate.

Using the 3 step process you will learn how to create effective business documents such as the ones attached to the page.

The first assignment we had to do in class was an e-mail. This assignment gave the students the scenario of being the IT Director at Ford motor company. We had to create an e-mail for the employees, with the concern of constructing effective e-mails to stop the confusion between the employees and vendors. The communication issue was leading to lost in productivity and strained relationships within the company. When beginning the assignment the challenge was figuring out which attitude to use. Within the company there is a wide age range, so we had to find an attitude to satisfy each age group. From this assignment I learned how to correctly format an essay and how to adapt it to me audience.

The second assignment we had to do was a business memo. The memo was going to be sent to the supervisor of our company, informing him of a current issue in our career field. Suggestions on how to fix the issue and some background information of the issue was also requested by the professor. The difficult part of this assignment was trying to choose a issue and deciding on some suggestions on how to improve it. I learned how to effectively fulfill a request and I learned of some current issues in my career field.

The last assignment we had to do was a negative newsletter. We had to compose a memo that was being sent to employees of a company barring bad news. Along with the bad news we had to give the employees reassure that the company still believes they are important. We had to make sure to indicate the nature of the issue and accurately communicate it. The constraint I encountered was finding a company with a major issue. Most of the company’s, I discovered had minor issue that weren’t really a big setback. After finally finding a major issue, the next problem was trying to communicate it to the employees and make them feel like they are still valuable. I learned that when most companies are going through major turmoil they usually have an alternative solution.
